Move member from Waitlist to Attending if someone has CANCELLED their RSVP

For an event that was limited to XX attendees and the limit was reached AND a Waitlist was created, THEN a member CANCELS their RSVP making room for someone from the Waitlist follow these instructions.

NOTE: If you are increasing the attendees limit for a limited attendance event and want to move someone from the Waitlist to Attending, use this help doc:  Increase Number of Attendees for a Limited Attendance


1. Ways to get to the RSVP Report: 

Option A: Banner View or Event page > click RSVP Report. Proceed to step 2.

Option B: Event calendar > List View > click report. Proceed to step 2.

2.  In the sorting section click Waitlist > check box for Response Date & Time > use Sort By to select RSVP Received Date to view waitlist by First Come First Served.

TIP: Go to any report – ATTENDING, DECLINED, RESPONDED, NO RESPONSE – click on name to edit an RSVP at any time.

3. Click HOUR GLASS ICON for the person you would like to move from Waitlist to Attending.

4.  Choose to MOVE AND SEND EMAIL or MOVE ONLY
  • Choosing MOVE AND SEND EMAIL will move the person to Attending and Send a Confirmation Alert Email to the Member notifying them of the RSVP status change.
  • Choosing MOVE ONLY will move the person to Attending without alerting them of the RSVP status change.

5. The RSVP status icon for the person moved to Attending changes to a green check mark.
