Limit Attendance/Waitlist for Shared Sites

If you are two sites sharing events and/or member directories, managing Limit Attendance/Waitlist events requires special attention.

The total attendance must be split between the two sites. How it is split is up to you. For example, an event where 100 is the limit, each site could assign a Limit Attendance as 50, or the split could be 75/25.  

When either site hits their limit the event will close registration to new attendees only on that site. 

If Site A reaches 50 attendees first, then that site will not allow any new attendees. If Waitlist is YES, then 'add to waitlist' is available. Site B can still accept attendees until they their limit of 50 is reached.

An event shared with another site will not carry the Limit Attendance or Waitlist settings and must be set after it is shared.

Create a Limited Attendance Event with a Waitlist.

1.  Edit event > DETAILS > LIMIT ATTENDANCE / WAITLIST > set to YES.





2. LIMIT ATTENDANCE > enter maximum number of attendees PER SITE not total for both sites.

3. WAITLIST > set to YES.

4. TITLE – Registration OPEN and TITLE – Registration CLOSED > enter preferred message (suggested text in grey is not displayed on site, your message displays in red).

5. Responses are accepted until the limit is reached. After limit is reached:

  • Registration automatically closes, date and time is added in RSVP report
NOTE: Registration doesn’t re-open unless admin increases limit and/or reopens manually.

  • Invitee's can choose either "add to waitlist for event" or "unable to attend."

OPTIONAL: Add a limited attendance message to the event summary found on Home and Event Calendar displaying underneath the subtitle in red letters.

Edit event > DESCRIPTION > ALERT MESSAGE > enter preferred text.

AFTER the event is created on Site A, share the event with Site B.
