FOR YPO-YPO GOLD CHAPTERS ONLY

ChapterPRO is integrated with YPOI's Cvent, eliminating the need to upload events to both places saving you valuable time!


OVERVIEW

• In the event editor, field titles with a gold triangle are required for Upload to Cvent. If a required field is not completed, ChapterPRO will prompt you to complete it.

• Event status must be online, in the future and have a set date.

• An event does not upload to Cvent if Set Estimated Date is used, and does not upload or update on Cvent after the event end date is passed.

• Events are uploaded to Cvent at 1:00am U.S. Central Standard/Daylight savings time Sunday - Thursday, and take up to 25 hours to sync to Cvent/Connect.
 
• To cancel event on Cvent, click here for options.
 
IMPORTANT NOTE FOR EVENTS WITH DATE CHANGES OF 90+ DAYS: 
When an event date changes to 90 or more days after the original end date, and Upload to Cvent box is checked, it will not update on Cvent due to YPOI archive rules. The correct action in ChapterPRO is to:
1. Edit event > click Duplicate this Event > edit Date > check box Upload to Cvent > ADD.
2. Return to original event > edit event > STATUS > click Take Offline to cancel original event on Cvent.

Will offline events upload to Cvent?
No.

Can I upload past events to Cvent?
No. After the end date/time is past, the event does not upload to Cvent.

Can I upload events with estimated date to Cvent?
No. Only events with actual set date upload to Cvent.

My event start date is after June 30 of current chapter year. Will it upload to Cvent?
Yes. Events must have an end date in the future to upload or be modified in Cvent.

When do events upload to Cvent?
Events are uploaded to Cvent at 1:00am U.S. central standard/daylight savings time Sunday - Thursday only, and take up to 25 hours to sync to Cvent/Connect for upload.

What if I’ve already entered my events in Cvent directly?
• Events previously entered directly into Cvent are not linked to ChapterPRO event.
• Events in ChapterPRO upload as a new event in Cvent, creating a duplicate.
• To keep event data current in both ChapterPRO and Cvent, cancel events directly entered into Cvent. Check box “Upload to Cvent” on your ChapterPRO events.

May I choose which events to upload to Cvent?
Yes. Check Upload to Cvent box on events you wish to upload.

I don’t want any of my events uploaded to Cvent.
Do not check Upload to Cvent box.

If I edit my event in ChapterPRO after I’ve uploaded to Cvent, will those changes be uploaded too?
Yes. Edited events update in Cvent overnight following the same schedule, uploaded to Cvent at 1:00am U.S. central standard/daylight savings time Sunday - Thursday only, and take up to 25 hours to sync to Cvent/Exchange.

I have a dual site, and both YPO and GOLD members are invited to attend, what happens in Cvent?
These events syncs twice, creating one YPO event and one GOLD event. (YPOI is OK with duplicated events for each chapter).

What happens if I delete an uploaded to Cvent event in ChapterPRO?
The event is permanently removed from ChapterPRO and cancelled in Cvent following upload schedule. (Cvent does not support a full delete.) 

If I delete event in Cvent, will it delete event in ChapterPRO?
No. Event information is transferred one way from ChapterPRO to Cvent only. Be sure to uncheck Upload to Cvent in ChapterPRO if you do this, as the events will no longer be linked.

What happens if I uncheck Upload to Cvent box?
The event on ChapterPRO is disconnected from event on Cvent. Syncing action is broken, but event remains in both places. Use this to discontinue sending edits to the event on Cvent.

If I take a ChapterPRO event online, then offline, what happens in Cvent?
• The event is cancelled in Cvent.
• If you take the event online again, it uploads as a new event in Cvent.

FINAL TIP
    • After event is uploaded to Cvent, editing the event in Cvent and then editing event in ChapterPRO, if Upload to Cvent box remains checked the ChapterPRO edits override edits in made to event in Cvent.
